ZEUS AI LTD ("Zeus", "we", "our" or "us") provides conversational AI, live chat, WhatsApp messaging and customer engagement software to businesses.

We take privacy seriously and are committed to handling personal data responsibly, securely and in accordance with applicable data protection laws.

Where our customers use Zeus to communicate with their own customers, prospects or website visitors, we generally act as a data processor on behalf of that customer. In those circumstances, the customer remains responsible for determining how and why the data is processed.

The Information We Process

The information we process depends on how our services are being used.

When someone interacts with a business using Zeus, this may include their name, email address, telephone number, communication preferences and the contents of messages exchanged through live chat, WhatsApp, SMS or other supported channels.

We also collect certain technical information necessary to operate and secure our platform. This may include IP addresses, browser information, device identifiers, system logs and usage data.

Where customers connect Zeus to third-party systems such as CRMs, marketing platforms, booking tools or other business systems, information may be exchanged between those systems and our platform in accordance with the customer's instructions.

We do not knowingly collect special category personal data unless it is voluntarily provided by an individual during a conversation or interaction with one of our customers.

How We Use Information

We use information to provide and maintain our services, facilitate customer communications, improve platform performance, investigate issues, maintain security and comply with our legal obligations.

Where Zeus is used by a customer to engage with their own contacts, we process data only on that customer's behalf and in accordance with their instructions.

We do not sell personal data, rent personal data or use customer data to build advertising or marketing profiles.

Artificial Intelligence Services

Some Zeus services use artificial intelligence to analyse conversations, generate suggested responses and automate parts of customer communication workflows.

The underlying AI models are provided through carefully selected third-party providers. Information submitted through these services is processed solely for the purpose of delivering the functionality requested by our customers.

Zeus may also use artificial intelligence and automated decision-support tools to classify enquiries, prioritise leads, generate suggested responses, summarise conversations, extract information from communications and automate customer engagement workflows. These tools assist our customers in managing communications more efficiently. Customers remain responsible for determining how AI functionality is configured and used within their organisation.

Customer data processed through AI services is not used by Zeus to train public AI models.

While we take reasonable steps to ensure the quality and reliability of AI-generated outputs, automated responses should not be relied upon as legal, financial, medical or other regulated professional advice.

Where Zeus acts as a controller, we process information on the basis of legitimate interests, contractual necessity, legal obligations or consent, depending on the circumstances.

Where Zeus acts as a processor, the relevant customer is responsible for determining the lawful basis for processing and providing any necessary privacy notices to their end users.

Sharing Information

We only share information where necessary to provide our services, comply with legal obligations or protect the security and integrity of our platform.

This may include trusted technology providers, cloud hosting partners, communications providers, professional advisers and other suppliers who support the delivery of our services.

We may also disclose information where required by law, regulation, court order or governmental authority.

All third-party providers are subject to appropriate contractual and security obligations.

International Transfers

Some of our suppliers operate internationally and may process data outside the United Kingdom or European Economic Area.

Where this occurs, Zeus implements appropriate safeguards to protect personal data, including Standard Contractual Clauses, International Data Transfer Agreements and other recognised transfer mechanisms where required by law.

Following termination, information will only be retained where there is a legitimate business need or a legal, regulatory or contractual requirement to do so.

Where Zeus acts as a data processor, we will retain and delete customer data in accordance with the instructions of the relevant customer and any applicable contractual commitments.

When information is no longer required, it is securely deleted, anonymised or otherwise disposed of in accordance with our internal data retention and disposal procedures.

Your Rights

Subject to applicable law, individuals may have rights in relation to their personal data, including the right to:

  • Access their personal data

  • Correct inaccurate information

  • Request deletion of personal data

  • Restrict or object to processing

  • Request portability of personal data

  • Withdraw consent where processing is based on consent

Where Zeus acts as a processor on behalf of a customer, requests relating to those rights should normally be directed to the relevant customer in the first instance.

Our Key Service Providers

To operate our platform, Zeus uses a number of carefully selected service providers.

These currently include Amazon Web Services for cloud infrastructure, OpenAI for AI processing capabilities, Meta and WhatsApp Business Platform services for messaging functionality, together with other providers supporting communications, analytics, monitoring and platform operations.

All service providers are subject to appropriate contractual obligations relating to confidentiality, security and data protection.

Data Breaches and Security Incidents

Zeus maintains documented procedures for identifying, investigating and responding to security incidents.

Where required by law or contractual obligation, affected customers and relevant regulatory authorities will be notified without undue delay following confirmation of a reportable personal data breach.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our services, legal requirements or business practices.

The latest version will always be available from Zeus and will supersede any previous versions.
